How WormTime handles your information

WormTime helps hosts gather availability and share scheduling updates with guests. This Privacy Policy explains what information we collect, how we use it, and the limited situations where it may be shared in order to run the service.

Information we collect

We may collect:

  • host account information such as name, email address, and password hash
  • guest scheduling details such as first name, last name, phone number, optional email address, and availability responses
  • when a host enables optional carpool, guest carpool details such as participation role, seat count, street address, city, state, ZIP code, safe labels, and resolved coordinates for that event
  • event details entered by hosts, including title and location
  • technical and security data needed to operate the service, such as session identifiers, request metadata, and abuse-prevention signals

How we use information

We use information to:

  • create and manage host accounts
  • let hosts organize events and collect guest availability
  • send transactional scheduling messages, such as invite links, reminders, time-poll notifications, and final results
  • geocode event destinations and optional guest home locations for carpool planning, create route assignments, and send assignment updates
  • protect the service against spam, abuse, and unauthorized use
  • monitor reliability, debug problems, and improve the product

How information is shared

WormTime does not sell personal information. We only share data with service providers that help us operate the product, such as hosting, database, error-monitoring, email, CAPTCHA, and SMS vendors, and only as needed to provide the service.

When a host enables optional carpool and a guest chooses driver or rider, Geoapify may receive raw search text or raw address text during place search or geocoding. Geoapify and openrouteservice may receive destination and home-location coordinates during route planning.

The event host can read submitted carpool details for that event.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

We do not share personal information with third parties for their own marketing purposes.

SMS and email communications

If a phone number or email address is provided for an event, WormTime may send transactional scheduling communications related to that event. These communications may include invite links, reminders, updates when a time poll opens, and final scheduling results. Users who receive SMS can opt out at any time by replying STOP. Assistance is available by replying HELP.

Data retention

We retain information for as long as needed to operate WormTime, maintain event history, meet legal obligations, resolve disputes, and enforce our agreements.

For optional carpool, WormTime currently targets these retention windows: event-scoped route details and detailed solution artifacts purge 90 days after event end, unresolved geocode-cache rows purge after 30 days, and resolved geocode-cache rows purge 12 months after last use.

Your choices

Guests can choose whether to provide an optional email address. Users who receive SMS can opt out by replying STOP. Assistance is available by replying HELP.

Guests can also choose I will not use carpooland skip home-location storage for that event. When a guest submits driver or rider details, that submission authorizes WormTime to store event-scoped home-location data and share the vendor and host access described above for that event's carpool planning.
